RPS035 Transmittals

RPS Reporting and State Aid

RPS reporting percentages are used in determining if a municipality qualifies for State Aid. Maintaining at least a quarterly transmittal schedule is required for State Aid. Please follow the agreed upon schedule and work with your regional CRM (Customer Relationship Manager) to monitor status. Statistics are available through the State Aid liaison or CRM in each region. Please contact the appropriate regional staff with your questions regarding any related issues.

STEP 1: Apply for approval of RPS035 transmittals and a schedule.

The RP-5217 App-1 is the application used by a County Director or Assessor to set up a schedule and responsibilities for the RPS035 file transmittals to ORPTS.

Options for transmittal schedules include: Quarterly, Bi-monthly, Monthly, and other.

In order for ORPTS staff to approve an RPS035 transmittal schedule, the application must be completed, signed and dated by the authorized party requesting approval. The completed application is sent to the address noted at the bottom of the instructions on the back of the application form.

STEP 2: Review/Verify and enter sales into RPS or compatible system

For details on how to add sales to RPS, run RPS035 transmittals or RPS processing in general, contact your ORPTS regional CRM or County Director of RPTS.

  • Enter every sale through RPS - valid, invalid, arms length and non-arms length
  • Run the Accumulated Sale Report (RPS035P3) before extracting any RPS035 transmittal file

STEP 3: Extract File RPS035 Transmittal Checklist

  1. Compare the number of sales on the RPS035P3 report to the totals on the RPS035P1 report after the extract has been run to ensure that all sales are being transmitted.
  2. Open the file before transmitting. Empty files containing no data, are occasionally received.
  3. In addition to the file, the transmittal should include the Sales Transmittal Report (RPS035P1).
  4. Keep one copy of the RPS035P1 report for your files.
  5. Transmit via email: Saleint mailbox or mail as follows:

Within 2 weeks of transmitting to ORPTS, you will be notified that your file has been processed. Contact ORPTS if you do not receive notification that your file was processed.
